8 Burlingame, CA Burlingame, CA Full-time Full-time $80,000 a year $80,000 a year POSITION SUMMARY The Executive Assistant / Office Support role is responsible for general office organization, administrative duties, some HR (new employee onboarding and managing personnel files) and other miscellaneous duties to support the Executive staff and company.
This role reports to company President and involve 90% professional and 10% personal duties managing personal and business-related activities and providing administrative support.
DUTIES and RESPONSIBILITIES include but are not limited to:
Direct Support of Executive staff members.
Strategically organize and manage Principal's calendar as needed.
Draft emails and handle correspondences on Principal's behalf when appropriate Coordinate & carry out personal tasks for Principal as needed (occasional) Travel Planning & Support (occasional) Organizing and maintaining file system.
Coordinating travel schedules and/or reservations (minimally needed).
Operate & coordinate maintenance of office equipment:
office computers, I-Phones, printer/copier, etc.
Ability to lift boxes ranging from 5lbs -10 lbs.
General office support, special projects and other administrative duties as assigned.
Willingness to engage in a range of tasks.
Office Management:
Complete opening and closing office procedures daily as needed.
Monitor and order office supplies continuously.
Carry out daily administrative duties such as printing, filing, and general organization of the office.
Open and distribute delivery of mail daily Open and inspect any client deliveries sent to the office, label and organize boxes within the office.
Gather beverages and refreshments and arrange catering for meetings, special events, and holiday parties.
Coordinate, purchase and mail / deliver gifts, holiday gifts, and employee gifts when needed.
Coordination with outside tech support team on larger issues Assist with on-boarding of new staff members Job Type:
